LabelRows documentation

How to turn the rows of a Google Sheet into labels or name badges that line up with your label sheets.

Getting started

  1. Install LabelRows for free from its Google Workspace Marketplace page: click Install and choose your Google account.
  2. Put one address, badge or file name per row under a header row, for example Name | Street | City | State | ZIP.
  3. Open the spreadsheet and click the LabelRows icon (an orange tag) in the side panel on the right. If you don’t see the side panel, click the small arrow at the bottom right of the window to show it.
  4. The first time, LabelRows shows an Authorize access button. Click it and allow LabelRows’ two permissions (see Permissions). You only do this once.
  5. In the LabelRows panel, pick the sheet, the header row and the label size printed on your label box. Check the label text, then click Create labels at the bottom of the panel.
  6. LabelRows makes a new Google Doc and shows an Open label Doc button. Print it as described in Printing.

Label text

  • Write the label once. {{Column name}} is replaced by that row's value, exactly as the cell shows it. The column names you can use are listed under the text box.
  • Suggest from headers writes a starting text from headers such as Name, Street, City, State and ZIP. LabelRows remembers the text you write for each sheet.
  • A line whose fields are all empty is left out, so an empty “Address 2” doesn't leave a gap. A stray comma left by an empty field is tidied away.
  • Every field must match a column header on the chosen sheet, and the text needs at least one field.
  • The preview shows the label for the first row. Click Update preview after you edit the text.

Choosing rows

  • Print: All rows, A range of rows (type the first and last row numbers as the sheet shows them, for example 2 to 40), or Selected rows (select the rows on the sheet first, then click Create labels).
  • Only rows ticked in: pick a checkbox or TRUE/FALSE column, for example “Send card”. Rows that are not ticked are skipped.
  • Empty rows are skipped, and LabelRows tells you how many rows it skipped.

Font & layout

Under Text style, choose one of eight fonts (Arial, Roboto, Open Sans, Lato, Georgia, Times New Roman, Courier New, Verdana) and a size from 5 to 36 pt. Align text left or centre, top or middle, and optionally make the first line bold. If a label has more lines than fit, LabelRows shortens it and tells you how many labels were affected. Pick a smaller font if that happens. “Print label outlines” draws dashed outlines for checking; turn it off for the final print.

Test page & nudge

Click Test page to get one sheet of numbered, outlined labels in the chosen size. Print it on plain paper at 100% and hold it against a label sheet in front of a light. If it is slightly off, set Nudge right and Nudge down under Printer alignment (in inches, from −0.5 to 0.5; negative moves left or up) and print the test page again. The test page is free on every plan and for every size.

Printing

  1. Open the Doc LabelRows made and choose File → Print.
  2. Set the scale to 100% (“Actual size”), not “Fit to page”, with no extra margins.
  3. Check that the paper size matches the template (Letter or A4).

Each Create labels click makes a new Doc in your Google Drive, named after the sheet, the label size and the time. LabelRows never changes your spreadsheet or older label Docs.

Free & Pro

  • Free: the five most popular sizes (5160, 5163, 5395 name badges, A4 L7160 and L7163) and up to 60 labels per document.
  • Pro (coming soon, not on sale yet): all 14 sizes, up to 2,000 labels per document, skip used labels to start part-way through a used sheet, and several copies per row.

In the size list, sizes marked Pro (coming soon) can’t make label Docs yet, but their test page works now. Pro can’t be bought yet, and LabelRows has no account or license check. When Pro launches, its price and terms will be on the pricing page and this page will explain how to upgrade.

Permissions

LabelRows asks Google for two permissions, and nothing else:

PermissionWhy
See and edit only the spreadsheet LabelRows is open inRead the sheet names, the header row and the rows to print, only while you use LabelRows (Google’s spreadsheets.currentonly permission). LabelRows does not change the spreadsheet.
Access only the Google Drive files that LabelRows createsCreate the label Doc and fill it in through the Google Docs API. LabelRows cannot see or open any other file in your Drive (Google’s drive.file permission).

LabelRows makes no web requests of its own: no Cellbrook server, no license check, no analytics. Its panel is shown in Google’s own add-on side panel, so it doesn’t need a permission to show sidebars or dialogs.

LabelRows does not ask for your Gmail, contacts, calendar or other Drive files. You can revoke access anytime at myaccount.google.com/permissions. The Docs it made stay in your Drive until you delete them. More in our privacy policy.

Getting help

Email support@cellbrook.com with the add-on name, the label size and what you see. If alignment is the problem, say which printer you use and how far off the test page is. See also Support.
